These Terms & Conditions constitute a formal agreement between Vietnam 4 Seasons Travel (referred to as "the Company," "We," or "Us") and You (the traveler). By proceeding with a booking, you acknowledge that you have read, understood, and accepted the terms outlined in this agreement.

1. Understanding Our Agreement
This contract covers all aspects of your travel arrangement, including the travel period, itinerary, tour type, and services included. It is designed to ensure clarity and peace of mind for both parties. As a professional inbound operator licensed by the Vietnam National Administration of Tourism (VNAT), we operate with the highest standards of integrity and are legally bonded to provide you with the necessary financial protection.

2. Your Responsibilities

• Accuracy of Information: Please provide all traveler details exactly as they appear on your passport. Any discrepancies may cause delays or service disruptions.

• Documentation: It is your responsibility to ensure you have a valid passport (with at least 6 months’ validity beyond your return date and 2 blank pages) and to secure any necessary visas for your destination.

• Health & Well-being: We recommend consulting your physician regarding vaccinations or specific health precautions before your trip. Please inform us of any special needs or medical requirements at the time of booking so we can best support you.

3. Pricing, Payments & Modifications

• Pricing: All quotes are subject to change until final written confirmation is provided. We reserve the right to correct any human or technical errors in pricing or service descriptions.

• Booking Process: We will begin your reservations upon receipt of your booking request. If your chosen services are unavailable, we will work with you to provide suitable alternatives.

• Payment Terms: A deposit is required to secure your booking, with the balance due according to your invoice. For close-to-departure bookings, full payment is required immediately.

• Amendments: We are happy to assist with changes to your itinerary; however, please note that amendments may incur additional charges depending on the timing and availability of services.

4. Cancellation & Refunds
We understand that plans can change. To be fair to our network of local partners, cancellations must be made in writing. Our policy is as follows:

• General Policy (< 10 guests): Cancellations made 30+ days prior to arrival are free of charge. Penalties apply for cancellations within 18 - 29 days of arrival, increasing as the departure date approaches.

• Group Bookings (10+ guests): Terms will be provided on a case-by-case basis depending on the specific supplier conditions.

• Flights & Peak Seasons: Different terms may apply to airline tickets, public holidays, and peak travel periods; these will be clearly communicated during the booking process.

Note: Refunds are not available for "no-shows" or unused portions of your tour package.

5. Our Commitment to You (Support & Protection)

• Travel Protection & Health: We strongly recommend purchasing comprehensive travel insurance in your home country. We advise consulting with a physician regarding necessary vaccinations. While we provide assistance where possible, maintaining personal health and physical well-being throughout the trip is the responsibility of the traveler.

• Safety: As your Destination Management Company, we are committed to your safety. However, we cannot assume liability for losses, injuries, or delays caused by third parties, natural disasters, political instability, or government authorities.

6. Updates to Terms
Vietnam 4 Seasons Travel reserves the right to update these Terms & Conditions as necessary. By continuing to use our services, you agree to the conditions currently in force at the time of your travel.
